Overview of the Grant Proposal Development Process

First Steps

Creating a successful proposal depends on thorough preparation! All grant applicants should begin by contacting the Grants Office to get started:

Complete the Planning Document for Grants in preparation for meeting with the Grants Officer.

During your initial planning stage, consider the following questions:

  1. Impact — What is the connection to the AUS mission and services? How will it improve the lives of the students and community members we serve? Is there evidence of need within the client/student base or area of academic research?
  2. Financial and Space Resources — Will additional space, equipment or new staff hires be required? Is there any financial match required from a sponsor? Are marketing and recruitment activities required and how will they be covered? Is there a financial sustainability plan for the project after grant funds end?
  3. Project Team — Who will be the project director? Who will be on the proposal development team (faculty and staff)? What amount of time is available to complete the proposal before deadline in light of everyone’s schedules? Are the faculty and Academic Unit Heads committed to carrying out the project if funded?
  4. Submission Timeline — Ensure there is sufficient time for the proposal to be reviewed at AUS (Grants Office, Academic Unit Head(s), VPs and President). All proposals must be signed by the President after AUS internal review is completed. The final draft of the proposal must be submitted to the AUS Grants Office at least 10 business days prior to the sponsor deadline.
  5. IRB Review — If this is a research project, ensure that AUS IRB approval is secured for research activities involving human subjects and/or data.

To identify potential funding sources, visit the Resources page to access prospect databases and funding alert services available to AUS community members. The Grants Officer is available to help you with customizing your search and identifying a good match. 

Budgeting

Do you have questions regarding budgeting or cost estimates for your project? Review the Budget Development Worksheet. The AUS Grants and Budget Offices will work with you to construct a feasible budget for your proposal.

Submission to the Sponsor

Submit the Proposal Routing Sheet with your final letter of inquiry, proposal or grant application to the Grants Office. All letters of inquiry, proposals, progress and final reports must be reviewed internally by the Academic Unit Head(s), VPs, and signed by the President. The Grants Officer will submit the signed proposal to the sponsor via mail or electronically as appropriate.

Note: the final draft of the proposal must be submitted to the Grants Office for AUS internal review at least 10 business days prior to the sponsor deadline.
